# Where AI Belongs in a Business App (and Where It Doesn’t)

AI earns its place in tasks that are fuzzy, text-heavy and tolerant of the odd mistake. It is a poor fit for exact calculations, high-stakes decisions with no review, and anything a simple set of rules already does well. Most businesses do better by adding AI to one specific step than by building "an AI product". Here is how to tell where it belongs.

## What problems is AI actually good for?

AI works well when the input is messy and the answer does not have to be perfect every time:

- Pulling structured details out of documents or free text
- Drafting first versions of replies, summaries or descriptions
- Classifying and routing requests
- Searching across large amounts of text
- Suggesting related items or upsells

On one client platform, staff upload a document and AI reads it to fill in an entry form. A person then completes whatever is missing and checks the result. The AI does the tedious typing, and a human keeps the final say. In a restaurant product we build, we use a layered set of prompts, including prompts that suggest add-ons at the cart stage, so the suggestions stay relevant to what the customer is ordering.

## What shouldn't you use AI for?

We would advise against AI for:

- **Exact calculations** such as tax, invoicing or stock counts. Use code.
- **Fixed business rules** such as eligibility checks. A rule engine is cheaper, faster and easy to test.
- **High-stakes decisions with no review,** such as approving payments or medical or legal outcomes.
- **Anything that must give the same answer every time.** AI output can vary.
- **Tiny tasks** where a simple form or filter would do.

If a clear rule solves it, use the rule.

## How do you test whether a use case is worth it?

Run a small test before you build anything:

- Pick one narrow task and collect 30 to 50 real examples.
- Run them through the AI approach and mark each result right or wrong.
- Decide how many errors the process can tolerate, and who catches them.
- Compare the time saved with the review time added.

If the review effort cancels out the savings, the use case is not ready.

## Frequently Asked Questions

### What does it cost to run?

Costs depend on how often you call the AI service and how much text goes in and out. Calls are usually priced by volume, so a feature used by thousands of people a day costs far more than one used by a few staff. Estimate your monthly volume, check the provider’s current pricing, and build in a spending limit from the start.

### What is the human-in-the-loop pattern?

Human-in-the-loop means the AI proposes and a person approves, especially when confidence is low or the stakes are high. It is the safest way to introduce AI into a live process, and the review decisions give you data to improve it over time.

### Where should you start?

Start with the most repetitive, text-heavy step in an existing workflow, keep a person in charge of the result, and measure the outcome. If you want help finding that step, see our [AI development services](https://octakris.com/ai-development/)
