# Five Manual Workflows Worth Automating First

Start with workflows that are frequent, rule-based and error-prone. Skip anything that changes every week or needs real judgement. A good first automation saves time quickly and is easy to check. Here are five that most businesses can automate first.

## How do you pick a workflow to automate?

Score each candidate on four points:

- **Frequency.** Does it happen daily or weekly?
- **Rules.** Can you write down the steps and the decisions clearly?
- **Pain.** Does it cause delays, errors or complaints?
- **Stability.** Will the process stay roughly the same for the next year?

Candidates that score well on all four are the best starting points.

## What are five good first candidates?

**1. Renewal and expiry reminders.** Staff check dates by hand and message customers one by one. An automated system can flag upcoming expiries and send reminders by WhatsApp or SMS, with SMS as a fallback for numbers that are not on WhatsApp. We built this kind of campaign for a client with several branches.

**2. Entering data from documents.** Typing details from uploaded documents into forms is slow and error-prone. Software can read the document and fill the form, and a person checks the result. See [where AI belongs in a business app](https://octakris.com/where-ai-belongs-in-a-business-app/)
for when this is a good fit.

**3. Lead capture and follow-up.** Enquiries arrive by form, phone and chat, and some are forgotten. Route every enquiry into one place, assign an owner and schedule follow-ups automatically.

**4. Attendance and timesheets.** Collecting hours on paper or in messages is a monthly headache. A simple web app can record check-in and check-out, with location checks where needed, and feed the figures straight into reports.

**5. Bulk imports and recurring reports.** If someone copies data between spreadsheets every week, or compiles the same report each month, that task can usually run itself, including a bulk import of existing customer records into a new system.

## What should you not automate?

Leave these alone for now:

- Processes that are still being designed or change often
- Tasks that depend on judgement, empathy or negotiation
- Rare tasks that happen only a few times a year
- Anything nobody understands well enough to write down

Automating a broken process only makes the mistakes faster. Fix the process first.

## How do you measure the payoff?

Use this simple formula for each workflow:

**Time per task × number of tasks per month × hourly cost of the person doing it = monthly cost of the manual process**

Then add the cost of errors, such as missed renewals or incorrect entries. Compare the total with the cost to build and maintain the automation. Use your own real figures, because they differ widely between businesses.

## What does a first project look like?

A good first project is small and fast to check:

- Pick one workflow from the list above.
- Map its steps and exceptions on one page.
- Build the simplest version that handles the common case.
- Keep a manual route for the exceptions.
- Review results after a month, then extend.
